PCC Foundation Adjusts to CONVID-19 Situation

PCC Foundation Adjusts to CONVID-19 Situation
In light of the increasing advisories of COVID-19, the PCC Foundation is providing an update on the Foundation’s readiness and response plans. Please see a brief summary below of planning that is underway, and action steps being taken:
  • The Foundation does not have a specific business continuity plan (not uncommon for a business our size), however, we are fortunate that the College/CCCS System and Foundation have embarked on an extensive planning process to meet the demands of the situation.
  • The Pueblo Community College Foundation will closely follow the College/Colorado Community College System’s plans and recommendations.
  • Our Board of Directors, Executive Director and staff will work with the College/System to ensure that the Foundation has consistent and appropriate plans in place should escalation become necessary.
  • As Foundation staff are not employed by the College or the CCC System, we will follow recommendations and policies that are established by the College/System.
  • The Foundation’s Investment Committee will be working with our Investment Adviser in accordance with the Foundation’s Investment Policy to ensure that the Foundation’s funds are adequately positioned given recent and potential market impacts.
  • Should the Foundation need to pause operations, we are taking appropriate steps to ensure remote/online work environment readiness for the Foundation team members, as outlined below:
  • We are anticipating a slowing of certain operations and priorities. Fundraising is likely to slow or be delayed, board meetings and committee meetings may need to be postponed, outside office meetings may need to be postponed or changed to phone sessions. Overall, however, we do not believe this slowing will significantly impact us long-term.
  • While continuity of IT operations will fall to the System and the in-office server, our staff and consultants all have Foundation laptops and can work from home if necessary. Our Director and finance staff have access to our financial software remotely.
  • Staff members have been cross-trained, should we have a staff member who needs to step away from their role for a period of time.
We have identified some primary challenges at this time that could significantly impact us between now and fiscal year end:
  • Scholarship process: We are about to initiate the close of our scholarship application process (March 31). At the present time we have more applicants than EVER before. We do not anticipate a disruption in our application process due to COVID-19 and we are planning to proceed as planned. We typically use volunteer readers to award scholarships and community volunteers to interview applicants for special scholarships. Should we have an issue with volunteer access to our scholarship process, the Foundation staff may be called upon to review applications and/or we may limit readings (e.g. every application is read twice versus three times).
  • Receipt of Gifts or Payments: Should our offices be closed or our mail service be interrupted, we may not be able to receive checks or other payments in a timely fashion. While we do not anticipate this situation, we are still available to receive online payments via our Foundation website.
  • We do not anticipate a financial strain on our Foundation. We may have to postpone some of our special events. We are working on a plan to encourage our donors to make mid-year donations vs. waiting until year end to make contributions to insure Foundation obligatory payment for the next fiscal year. The Foundation is asking that all Colorado donors consider making a donation from their Colorado tax refund (see below).
Any and all actions taken in the days ahead will be consistent with the direction of the PCC Foundation Board of Directors, the Colorado Community Colleges System and Pueblo Community College.
Again, we want to assure you that the PCC Foundation is being thoughtful in our planning and approach to this situation. We will provide updates as necessary and I hope that you will contact me directly if you have questions or concerns.
Thank you,
Martha Simmons
Executive Director – PCC Foundation
